Job Description

General Dynamics Mission Systems–Canada is looking for an Administrative Assistant to join our Ottawa team.  Our Administrative Assistants play a key role in the day to day operations. Ideally you are someone who anticipates needs and provides solutions, you are organized and enjoy completing administrative tasks such as editing and writing communication, organizing schedules, planning and executing on travel requests. Its also important to be a collaborative person who likes to help others and also plan team events. Some of the work can be confidential in nature so managing information with discretion and urgency is also very important. 


A little more about the role and what you could be working on:

  • Maintaining procurement card purchases and expenses.
  • Preparing documentation including Visit Clearance Requests (VCRs), AARs Access Area Requests (AARs), Gift Hospitality Requests (GHRs), International Travel Checklists (ITCs), and Weekly Briefing Reports.
  • Shared support of departmental managers (organizing calendars, meetings, and documentation).
  • Answering the telephone, including all customer calls, and receiving visitors to the office.
  • Travel coordination and administration including immigration requirements and expense/management trip reports.
  • Preparing documentation including Visit Clearance Requests (VCRs), AARs Access Area Requests (AARs), Gift Hospitality Requests (GHRs), International Travel Checklists (ITCs), and Weekly Briefing Reports.
  • Ordering and maintaining office supplies and stationery items for the LJS team
  • Organize social and group events within a defined budget 
  • Booking conference rooms, room setup and catering as required.
  • Participate in meetings to take minutes and prepare actions for distribution to attendees; follow up as required.
  • Administrative support for new hire orientation, office move coordination with Plant Engineering & Maintenance (PEM)/ Onsite IT Support.
  • Supporting Land & Joint Systems communications (both departmental and company-wide).
  • Assisting with policy and procedure updates.
  • Support continual development and administrative updates to SharePoint sites.
  • Support maintenance and coordination of relevant systems such as Customer Relationship Management (CRM).

Basic Qualifications

Education & Experience

  • Effective at communicating with team members, and internal/external customers.
  • Demonstrates a high degree of professionalism and confidentiality.
  • Demonstrates flexibility to completing a wide range of task varying in complexity.
  • Organizational skills and attention to detail.
  • Writing/editing skills (to assist with communications, presentations and documentation).
  • Proficiency in all Microsoft Office applications (Access, Visio, Word, Excel, PowerPoint, Project, InfoPath).
  • Experience in the use of databases including SharePoint.
  • The ability to establish and define priorities between various managers.
  • Equivalent to a College diploma/certificate in Business Administration plus 2+years’ experience as an Administrative Assistant in support of management.
  • Must be able to obtain and maintain Canadian Security Clearance and a positive Controlled Goods Assessment. Eligibility to work in Canada either as a Canadian Citizen or Permanent Resident.
