Event Coordinator - Recreational Association (Casual on Call)

General Dynamics Mission Systems-Canada is looking for a Recreational Association (RA) coordinator based out of our Ottawa office. As the RA Coordinator you will work closely with our Executive Committee to bring events to life for our colleague RA members,while also overseeing the day-to-day operations. This opportunity is great for someone who is creative and enjoys event planning and working in a customer service role. This is a Hybrid position so this will be a combination of working remotely and on-site at our Ottawa office. 

In this role you will work to maintain and develop perks, events and campaigns for all Ottawa members. You will communicate changes, updates and information through email and marketing material you create and through the hosting of meetings. Other responsibilities include:

• Advertise and sell RA perks through ticket sales
• Research and Implement additional perks for RA members.
• Act as the main point of contact for RA memberships - accountable for all  RA communications with its members via email.
• Administrative and Financial tasks such as:
  • Payments,
  • Bookkeeping (QuickBooks)
  • Coordinating with payroll,
  • Maintain proper records of the financial transactions,
  • Maintain up-to-date account information,
  • Oversee the financial plan and operating budget,
  • Provide financial report for each fiscal year,
  • Update member list regularly and audit for discrepancies,

• Create marketing and communications for all RA events and campaigns
• Promote all RA events through emails, workplace and office posters (last one is only as applicable)
• Plan and host all regular meetings of the RA Executive Committee as well as the Annual General Meeting (AGM) and other membership meetings
• Following all meetings, record meeting minutes and post them on intranet for member visibility
• Coordinate and administer the on-site Fitness Centre:
  • Managing equipment repair and maintenance schedules
  • Coordinating group fitness schedules,
  • Promote fitness and develop campaigns to increase fitness membership,
  • Other fitness center duties as required.
• Plan, organize, manage, and execute events throughout the year as requested by the RA Executive Team, within budget including:
  • Focus groups,
  • Social events,
  • Presentations,
  • Children’s holiday party (300+ attendees),
  • Adult holiday formal reception and dinner (300+ attendees).

Education & Experience:

• Pursuing a diploma in event planning or interest in administration and event planning 
• Strong communication skills.
• Ability to balance multiple competing priorities through sound time management and organizational skills.
• Ability to work independently and collaboratively with teams across the organization.
• Working knowledge of MS Outlook, Word, Excel and PowerPoint.
• Strong leadership and ownership abilities.
• Must be able to obtain and maintain Canadian Security Clearance and a positive Controlled Goods Assessment. Eligibility to work in Canada either as a Canadian Citizen or Permanent Resident.
