Under little supervision, provides support at the program level for multiple programs to: coordinate the release process and storage of internal documentation, and when applicable, support the receipt, review, disposition and storage of subcontract documentation in accordance with corporate policies and procedures and/or Project Plans (ie: Data Management Plan); maintain the integrity of each document and the meta-data related to the life-cycle of the document; support the delivery of program documents (and possibly additional Configuration Management artifacts such as Change Requests) to customers and /or subcontractors; help support the update and review of corporate policies and procedures related to the Data Management function; provide support to project and program review meetings as required, help define and run document related reports to support program execution as required; and provide mentorship/training to junior staff to ensure departmental commitments are met. Also responsible for managing project specific access control within various toolsets.

  • Work within multiple structured document management processes;
  • Manage multiple programs and priorities to ensure that commitments are met;
  • Maintain the integrity and security of documentation;
  • Maintain the integrity of meta-data related to the life cycle of documentation;
  • Support the on-time delivery of Contractual documentation by; coordinating and/or expediting the update of documentation to corporate standards; and release process;
  • Deliver documentation to customer( s) and/or subcontractor(s) – may include the coordination of formal delivery notifications. Delivery methods vary and may including secure drop-boxes, Secure File Transfer Protocol (SFTP) sites, courier etc.
  • Develop and maintain effective working relationships with other departments, groups and staff with whom work must be coordinated or interfaced;
  • Communicate obstacles to program when program objectives are at risk and collaborate with program to resolve challenges;
  • Transform documents into electronic format as required;
  • Store documents on corporate repository;
  • Support the execution of documented Configuration Management Change Control procedures for documentation;
  • Identify and communicate opportunities for process improvement.
  • Work collaboratively with other departments as required to ensure solutions to challenges are holistic and any follow on process impacts are known and agreed;
  • Attend and provide support to program meetings as required;
  • Update and/or peer review corporate policies and procedures within the area of expertise as required;
  • Support the definition of and run, document related reports in support of program execution as required;
  • Support internal Quality audits as required –with little supervisions or support.
  • Support more junior staff to organize and manage workload and priorities; and
  • Provide mentorship/training to more junior staff;
  • May be responsible for the delivery of non-document Configuration Management artifacts such as Change Requests and Peer review comments to customers and/or subcontractors
  • May be responsible to update/correct document formatting using Microsoft word

  • High School Diploma and 3-5 years relevant experience. A college certificate relevant to the field is usually expected
  • Experience formatting documents in Microsoft Word an asset;
  • PDM Link (Windchill) Experience an asset;
  • Sharepoint experience an asset;
  • Must be able to obtain and maintain Canadian Security Clearance and a positive Controlled Goods Assessment. Eligibility to work in Canada either as a Canadian Citizen or Permanent Resident.
